Description

THE OPPORTUNITY

LEA Consulting Ltd. is currently seeking an Accounting/Project Clerk reporting to the Financial Controller.

PRIMARY RESPONSIBILITIES

Accounts Payable:

  • Receive and verify invoices from Vendors, Sub-consultants and Field Staff Personal Expenses;
  • Code, process and post invoices and employee expenses in Deltek Vision, our accounting system;
  • Seek proper approval as required;
  • Manage bi-monthly cheque run and mailing of cheques, various forms of payment (cheque, EFT/ACH/Wires);
  • Prepare manual cheques when required;
  • Monitor accounts to ensure payments are up to date;
  • Maintain A/P Listing and Vendor Files;
  • Respond to vendor inquiries in a timely manner;

Accounts Receivable:

  • Manage all aspects related to collection of aged receivables, including but not limited to:
    • Prepare and distribute reports to Project Managers;
    • Correspond with clients on overdue payments in a timely manner;
    • Verify discrepancies by working with the client to resolve payment issues;
    • Work with Accounting team to resolve internal variances and required adjustments;
    • Prepare bank deposits;
    • Mail and email all invoices to clients; maintain database of sent invoices;
    • Process and apply incoming payments (Cheques, EFT);

Other Duties:

  • Assist with the year-end audit;
  • Manage the Finance filing system (A/P, A/R, Government documents, Bank Statements, Correspondence, etc.);
  • Assist with special projects as assigned; and
  • Administrative duties including the preparation of contracts, agreements, supplementary documents for invoices, etc.

QUALIFICATIONS, EXPERIENCE AND EDUCATION

Experience:

  • 1-5 years in an Accounting Clerk, Accounts Payable and/or Accounts Receivable role
  • Experience with general accounting software

Skills and Competencies:

  • Excellent written and verbal communication skills
  • Self-motivated and able to work with limited supervision
  • Proficiency with data entry, MS Outlook, Word and Excel
  • Strong ability to multitask
  • Attention to detail and accuracy
  • Exceptional organization skills
  • Ability to communicate effectively as part of a team
  • Preference will be given to candidates with Deltek Vision experience

Education

  • Two Year College Certificate or relevant experience
